As I reflect on our business, managing rental property either as an owner or property manager, I think the one element that can make or break our success is communication.
At our recent COROA meeting on “Getting Rid of Bad Apples,” we had a lively discussion on the techniques to use to manage a potentially problematic tenant. Throughout the discussion, the common thread of communication kept coming up.
Successful managers communicate clearly, keep a paper trail of details, and use the resources of COROA to assist them in the process.
First, communication is the cardinal rule. Email is the greatest tool! Ask tenants to email you questions, repair requests or other concerns. Respond by email and keep all for a paper trail. By documenting dates, times and the actual message, you can avoid the “I told you …” technique tenants may use to change the facts or timeframes of requests. Keep a communication log noting the emails and all other communication. This will be valuable if you get into a dispute.
The networking opportunities we all have as members of COROA are fantastic.
